Information we collect

Contact information

Names, roles, email addresses, mobile numbers, and other business contact details provided when you request a website analysis, start onboarding, activate service, or contact support.

Clinic configuration data

Website URLs, call-handling rules, office hours, appointment types, escalation contacts, forwarding preferences, and other inputs gathered through setup chats, review forms, and activation workflows.

Call, transcript, and diagnostic data

Call metadata, transcripts, summaries, queue metrics, API responses, error logs, and test-call outcomes captured to operate, troubleshoot, improve, and secure the service.

Communication preferences and consent records

Email and SMS consent flags, consent timestamps, opt-out status, forwarding choices, and lifecycle states needed to send the transactional communications you requested.

Billing and account history

Stripe customer IDs, subscription selections, invoices, payment status, activation records, and related service history maintained by our payment processor and internal systems.

Analytics, cookie, and device data

Analytics events, page views, approximate device/browser information, referrer data, performance metrics, and cookie-based session or preference signals used to measure site usage, improve onboarding, and keep the product reliable.

How we use information

  • Prefill, configure, and operate your AI receptionist so you can review and activate a usable draft quickly.
  • Send transactional communications tied to the OnDial service you requested, including receptionist draft readiness, onboarding and activation reminders, forwarding confirmations, test-call confirmations, and critical account or security notices.
  • Maintain consent records, support STOP/HELP handling, and honor communication preferences.
  • Monitor system health, investigate incidents, detect abuse, and keep the service reliable and secure.
  • Measure legitimate product usage and website performance to improve onboarding, activation, and support workflows.
  • Process subscription, Fast-Start, and metered payments via Stripe.
  • Meet compliance, legal, and carrier requirements using only the data necessary for those purposes.

We do not sell personal information, clinic data, call transcripts, or messaging consent. We also do not share contact details with third parties or affiliates for their marketing or promotional campaigns. Mobile information and messaging consent are not shared with third parties or affiliates for their marketing or promotional purposes.

SMS and mobile consent

  • SMS is optional and sent only after a clinic contact explicitly provides a mobile number and requests transactional SMS updates through an OnDial-owned web form, setup flow, onboarding workflow, or activation process.
  • Consent to receive SMS is not a condition of purchase.
  • OnDial SMS is used for transactional communications only, such as receptionist draft readiness, onboarding and activation reminders, forwarding/test confirmations, and important account or security notifications related to the service you requested.
  • Message frequency varies based on your activity, but typically stays low-volume and event-driven.
  • Message and data rates may apply.
  • Reply STOP to opt out of SMS at any time. Reply HELP or email [email protected] for support.

Cookies and analytics

  • We use cookies, local storage, and similar technologies to keep the website working, remember preferences, measure usage, and improve onboarding performance.
  • We use analytics and performance tools, including Vercel Analytics and similar tooling, to understand page usage, referrers, conversion flow, and reliability.
  • These tools may collect technical information such as IP-derived approximate location, browser type, device type, pages visited, referring pages, and timestamps.
  • You can limit cookies through your browser settings, but some parts of the site may not function correctly if essential cookies are disabled.

Data retention and access

  • Drafts, receptionist configurations, analytics events, transcripts, summaries, billing records, and SMS logs are retained only as long as needed to operate the product, provide support, or meet legal requirements.
  • You can request access, updates, or deletion of your data by emailing [email protected].
  • We protect data using encrypted transit/storage, environment secrets, access controls, and operational logging on production systems.

Third parties

Infrastructure & hosting: Cloudflare Pages and managed hosting/infrastructure providers used to run the website and application.

Database & application data: Supabase and managed databases for product data, onboarding records, and operational storage.

Payments: Stripe for subscriptions, one-time activations, billing operations, and payment records.

Email: Resend and related delivery providers for transactional email communications.

SMS: Twilio for transactional messaging and carrier compliance workflows.

Analytics: Vercel Analytics and similar analytics/performance tools used to understand site usage and reliability.

Each provider receives only the minimum data required to deliver the service or function you initiated. They may not use your information for their own marketing purposes on our behalf unless separately disclosed and authorized by you.
